We are seeking a detail-oriented, well organised, proactive and creative Event Specialist to join our Events team at Wise for a fixed term of 3 month period. The Event Specialist will work closely with the Project Lead and be responsible for supporting and helping execute a range of global internal events across the globe taking place in June 2024. The ability to work well in a team and independently if needed, is greatly valued.
While we are looking for a short term contractor, there is a possibility of joining the team permanently in the future.
Your Role:
Support Event Lead while planning and executing the next annual internal company events in June 2024.
Project management: Support global events including associated travel and accommodation requirements for Wise. Help manage multiple virtual/hybrid and live events.
Project plan and timeline management: Follow detailed project plans, create sub-plans if needed, define project tasks, risks, timelines and resource requirements as needed; including pre-event, on-site, and post-event activities, to ensure everything runs smoothly and according to plan.
Risk mitigation: Help mitigate risks across the various events and locations, partnering cross team to identify resolutions to risks and issues as they arise.
Event logistics management: Support running logistical aspects of the events such as live conference, webinars, video conferences, live streams with the internal teams and external partners. In addition, oversee the travel, transportation and accommodation guidance.
Venue selection: help source venues in different locations, set the criterias and standards for internal events.
Budget management: Make sure the event vendors' budget for specific events/areas are under control, negotiate prices/better deals where possible.
Vendor sourcing: Help source and manage potential new partners and identify new preferred partners and cost- efficient opportunities.
Third party management: Support new client onboarding if required and ensure client relationships are well taken care of.
Stakeholder management: Support each project and its stakeholders to meet event expectations and production.
On-site management: Assist events on- site when required and possible.
Post-event evaluation: Conduct post-event evaluations to gather feedback, analyse event data and success, identify areas for improvement.
Your Experience:
Proven experience as an Event Planner or in a similar role
Strong organisational and multitasking skills with attention to detail
Excellent communication and interpersonal skills
Creative thinking and problem-solving abilities
Ability to work in ever changing environment and meet tight deadlines
Knowledge of current industry trends and best practices.
Degree in Event Management and/or Recreation Management is a bonus
