Are you the star we're searching for? Join us as an Executive Assistant for our People Leadership Team and play a pivotal role in Wise's mission to save billions for customers worldwide. This unique opportunity allows you to enhance the productivity of our leadership by managing complex schedules, travel arrangements, and key communications, enabling our leaders to focus on strategic priorities.
Your Mission
Wise is building a world without borders, creating fair and easy ways to manage money across international lines. As we continue our rapid growth, you will operate with minimal supervision to ensure seamless coordination of schedules and communications for the People team. This role will be based in our Budapest office supporting a couple of our senior People Leadership Team (PLT) members based in London.
Your ability to anticipate needs and streamline administrative processes will be pivotal to your success in this role.
- Strategic Partnership: Act as a critical liaison between the Global Head of People Services and VP Workplace and key internal and external stakeholders, ensuring effective communication and strategic alignment. Provide insights into business discussions and assist in facilitating high-level decision-making processes.
- Initiative Tracking and Management: Oversee the tracking and execution of major initiatives and action items. Ensure timely follow-up and completion in alignment with strategic objectives.
- Project Coordination: Lead and support key projects, orchestrating efforts across cross-functional teams, and ensuring successful implementation of strategic initiatives that further Wise’s mission.
- Comprehensive Administrative Support: Deliver high-level executive support to the Global Head of People Services and VP Workplace, including managing complex calendars and coordinating international travel and related logistics.
- Leadership Team Support: Facilitate activities of the People Services and Workplace teams, including managing meeting agendas, taking comprehensive notes, tracking action items, and ensuring follow-through and accountability.
- Event Coordination: Plan and execute internal conferences, team off-sites, and other significant events with meticulous attention to detail.
- Operational and Financial Support: Support hiring processes and cost planning within the team, ensuring alignment with budgetary and strategic priorities.
- Internal Communications: Draft and disseminate internal communications for the People Services and Workplace teams, ensuring clarity, consistency, and alignment with the organization’s messaging goals.
- You have at least 3 years of experience as an Personal/Administrative Assistant and at least 5 years of overall professional experience, ideally in a dynamic, high-growth company supporting global teams.
- Prior experience with or exposure to Human Resources is preferred.
- You are a self-starter with the proven ability to work independently, identifying gaps and implementing process optimizations with minimal supervision.
- Your exceptional organizational skills enable you to juggle multiple responsibilities with precision and keen attention to detail.
- You possess excellent communication and English language skills, adept at tailoring your communication style to suit different situations and audiences.
- A creative problem solver, you thrive in ambiguous environments, devising unique solutions that address specific challenges.
- You exercise discretion and apply sound judgement in all interactions, handling sensitive information with the utmost confidentiality.
- You are proficient in using Google Suite and collaboration tools like Slack, plus basic data analysis using Google Spreadsheets.
- You are passionate about tech and AI.
