We're looking for an Executive Assistant for our People Leadership Team (PLT) based out of our Tallinn office. You’ll be responsible for providing administrative, planning and coordination support to two of our PLT members - our Global Head of Reward, and our Global Head of Talent.
You will also become deeply involved in complex board support for some of Wise’s governance bodies globally.
This is a really exciting opportunity to help to build stronger organisational processes within a truly global team at Wise and be a part of developing and establishing our ways of working moving forwards.
Your mission:
Provide business and administrative support to the Global Head of Reward and Global Head of Talent including managing a complex diary, travel arrangements and tracking action lists on an hourly, daily and weekly basis; attending meetings where necessary
Assist in coordinating meetings and managing board materials for various governance bodies, ensuring all documentation is accurate and timely
Oversee large budget management, including tracking large payments and invoices
Produce periodic project highlight reports that summarize progress and key developments for stakeholders
Maintain a dynamic list of potential/pipeline projects, ensuring continuous identification of new opportunities and process improvements
A bit about you:
You have experience as a Personal Assistant/Executive Assistant in a high growth company, ideally supporting a global team with multiple demands.
You have proven experience in supporting board meetings and committees e.g. Remco, ensuring all preparations and materials meet the highest standards.
You act with total discretion and can be trusted with highly confidential and/or sensitive matters.
You ideally possess a strong financial background and have experience managing team budgets.
You’re excellent at building relationships and leveraging these for better outcomes.
You’re a self starter and love to work in an empowered way. You’re able to identify gaps and streamline processes with minimal guidance from others.
You’re organised and able to juggle multiple responsibilities with unwavering attention to detail at all times.
You have excellent communication skills. You match your communication style to the specifics of the situation, and audience.
You’re proficient in using Google Suite and other collaboration tools, such as Slack. You’re able to conduct basic data analysis using Google spreadsheets.
Salary: 2550-3150 EUR monthly + Wise RSUs
