Job Description

We are seeking an Administrative Assistant to support our FinCrime Product Leads. This unique opportunity allows you to influence Wise’s mission to save billions for customers around the world by enhancing the productivity of our leadership through managing complex schedules, travel arrangements, and key communications, enabling our leaders to focus on strategic priorities.

Your Mission:

Wise is building a world without borders, creating fair and easy ways to manage money across international lines. As we continue our rapid growth, you will operate with minimal supervision to ensure seamless coordination of schedules and communications for the team, particularly supporting Kaarel Kuddu and three other leads. Based in our Tallinn office, you’ll ensure seamless operations and communication in a fast-paced fintech environment. Your ability to anticipate needs and streamline administrative processes will be pivotal to your success in this role.

Who you are:

  • You have at least 2 years of experience as an Personal/Administrative Assistant (or similar) and at least 3 years of overall professional experience, ideally in a dynamic, high-growth company supporting global teams.

  • You pride yourself on delivering well-organised, error-free work that reflects a high standard of professionalism.

  • Your clear and concise communication and English language skills make you a reliable point of contact for both internal teams and external stakeholders.

  • You embrace opportunities to learn and grow, quickly adapting to new procedures and handling unexpected changes with ease.

  • Your strong organisational skills and independent work habits ensure that multiple priorities are managed efficiently and on time.

  • You consistently seek ways to optimise routine processes, suggesting improvements that enhance overall efficiency.

  • You are proficient in using Google Suite and collaboration tools like Slack, plus basic data analysis using Google Spreadsheets.

 

What you’ll do:

  • Calendar Management: Independently manage complex calendars, important meetings, and travel arrangements for one or more senior leaders, ensuring that scheduling conflicts are minimised and priorities are aligned.

  • Document and Correspondence Preparation: Draft, edit, and maintain high-quality documents, reports, and correspondence that are critical for decision-making.

  • Meeting and Event Support: Prepare and distribute meeting agendas, take detailed minutes, and assist in coordinating small-scale events that have a tangible effect on team outcomes.

  • Stakeholder Liaison: Act as a key point of contact for both internal teams and external partners, ensuring that communications reflect the high standards of our leadership.

  • Leadership Reporting Oversight: Ensure that key leadership reports—covering head counts, budgets, and meeting agendas—are accurate, current, and delivered on time to support strategic decision-making.

  • Information Management: Assist in writing, organising, and posting information in the appropriate platforms such as Workday, SmartRecruiters, and internal wiki pages.

  • Deadline and Compliance Support: Help keep the senior leader up to date and within deadlines for items not immediately recognized as part of their core work, such as mandatory trainings, event sign-ups, and survey completions.

  • Team Coordination: Organise meetings and events for the teams, ensuring smooth execution and alignment with team goals.

  • Accountability Support: Help keep the teams accountable for deadlines and project milestones, ensuring timely completion and alignment with strategic objectives.
