Job Description

We are looking for a Process Specialist (FinCrime Operations) to join our growing financial crime fighting team at Wise. As a Process Specialist, you will optimise and align the operational processes, collaborating with the operational team, product teams, central quality, and knowledge management, as well as audit, compliance, and growth teams. Your primary focus will be on creating, reviewing, updating, and maintaining the team’s policies, procedures and guidelines to ensure compliance and efficiency. You’ll play a crucial role in maintaining accurate documentation, especially during the launch of new products, currency routes, and outsourcing initiatives, ensuring readiness for audits and driving operational excellence.

Your expertise in process optimisation and project management will be essential as you lead efforts to enhance operational workflows, support new product launches, and prepare the organisation for internal and external audits. 

The role as a Process Specialist gives you the opportunity to:

  • Work with the Fincrime Ops team to map current processes, identify problem areas, and develop solutions. Support the launch of new products, and initiatives by creating and refining operational frameworks;
  • Identify inefficiencies and optimise operational workflows to enhance operational efficiency and effectiveness;
  • Create, update, and maintain procedures and guidelines for the Fincrime Ops team, ensuring accuracy, compliance, and readiness for audits with regular reviews;
  • Support audit preparations by gathering information, preparing samples, and addressing process-related queries;
  • Lead and manage projects focused on improving operational processes. 
  • Drive change initiatives by implementing process improvements. Provide support to teams affected by changes to ensure smooth transitions;
  • Analyse process-related data using BI tools to identify trends, assess performance, and make data-driven decisions, followed by impact analysis;
  • Build and maintain strong relationships with departments such as Operations, Product, Central Quality, Knowledge Management, Growth & Expansion and different audit functions. Facilitate effective communication and collaboration to align on process improvements;
  • In collaboration with Learning & Development specialists, support the Fincrime operations team to ensure alignment with updated processes and procedures;
  • Serve as the first point of escalation for process-related issues within the operations, addressing and resolving challenges effectively.

Qualifications

A bit about you:

  • Minimum 2 years experience in process optimization, project management, or a related role; compliance or regulatory experience is a plus;
  • Proven ability to identify inefficiencies and improve workflows for enhanced operational efficiency;
  • Strong project management skills, from planning to execution and monitoring;
  • Proficient in data analysis using BI tools (e.g., Looker) to drive decision-making;
  • Experienced in creating and maintaining accurate, compliant, and audit-ready documentation;
  • Skilled in leading change initiatives, implementing process improvements, and supporting team training;
  • Excellent communication skills, capable of articulating process updates to diverse stakeholders;
  • Strong relationship-building skills and experience facilitating cross-team collaboration;
  • Proficient in process mapping tools (e.g., Lucidchart), BI tools, and documentation platforms (e.g., Confluence);
  • Fluent in English, additional languages are an advantage.
  • You are eligible to work in Estonia - we don't offer visa or relocation support for this role.
