We’re looking for a well organised, passionate and people-centric Workplace Operations Coordinator to join our dynamic Workplace team in Budapest!
As a core member of our Workplace Team, you will help us continue to create a customer focused workplace experience and support day-to-day operations in our offices.
Your mission:
Our Global Workplace Team plays a key part in the employee experience at Wise, through our curated spaces, events and services. Our mission is to create and maintain a safe and inspiring workplace for Wisers. This role is essential in ensuring the smooth and efficient day-to-day operations of our workplace, contributing to a productive and comfortable environment for all employees. The ideal candidate will be proactive, detail-oriented, possess strong problem-solving skills, and have a commitment to operational excellence.
Key Responsibilities:
Event Management
Act as POC for local events. Plan and organise local community and cross-team events end-to-end, on-off site as required ensuring adherence to H&S regulations.
In collaboration with the Events and AV teams, support Wise business events (e.g. Squad Days, Planning Sessions, external networking events, and Missions Days) through space booking and layout set up, catering, security, etc.
Main POC for Team Call setup and sharing related comms
Be accountable for event budget management and analysis including pre-event forecasts and post-event invoice reconciliation.
Analyse data and regularly gather feedback (feedback forms, surveys,etc.) of events to provide the most engaging and equitable experiences.
Lead Workplace new employee onboarding (COB) through organizing lunch for first days, swag distribution, Workplace introduction and office guidelines presentation and office tour.
Responsible for offboarding-related tasks and coordination
Workplace Community
Write regular and engaging communications, sharing important Workplace information, upcoming events and updates relevant for the local community.
Coordinate all Food & Beverage (F&B) offerings with special focus on supplier service delivery and quality aligned with Wise standard.
Gather and manage Wiser feedback (feedback forms, surveys,etc), and identify ways to better support wellbeing through healthier, nutritionally balanced office meal offerings and snacks.
Manage all queries and Workplace requests through the helpdesk in a timely manner.
Operational Support
Support Workplace facilities management with oversight on daily workplace operations, vendor coordination & service delivery, inventory management, etc.
Ensure all office equipment is in good working order and support coordination of repairs or replacements as needed.
Manage and own Budapest SWAG & stationary ordering, distribution and stock control in collaboration with the Workplace Operations Manager.
Facilities Management & Administrative Coordination
- From time to time or as required, especially in back up capacity:
Liaise with building management and external service providers for maintenance, cleaning, and security services.
Conduct regular inspections of the workplace to identify and address any operational issues or areas for improvement.
Actively be involved in and support any Real Estate events, office moves, reconfigurations, and space planning to optimize efficiency.
Support administrative tasks such as expense reporting, invoice processing, and record keeping related to workplace operations.
Assist with budget tracking for operational expenses. Identify opportunities for cost optimisation and vendor rationalisation to get us closer to achieving Mission Zero.
A bit about you:
You have at least 2-3 years experience in workplace operations /facilities management, hospitality or events preferably within a corporate environment.
Fluent in Hungarian and English, both verbal and written.
Your interpersonal and networking skills are excellent,
You have great organisation, multitasking and problem-solving skills. We are a team of solution-focused people!
Must have:
- Excellent verbal and written communication skills.
Ability to work independently and collaboratively in a fast-paced environment.
Continuous improvement mindset, with the ability to think ‘big picture’.
Salary: 610000 - 750000 HUF Monthly
