Job Description

Your Mission:

We are looking for a Workplace Project Manager to lead and drive the successful delivery of multiple workplace fit-out projects, ensuring meticulous project management, exceptional stakeholder engagement, and optimized resource allocation to achieve project objectives and corporate goals. You will ensure that all office spaces are delivered to high standards of quality, innovation, and best practices.

 

This Role Will Give You the Opportunity To:

Project Management:

  • Establish and lead project teams comprising internal and external stakeholders, guiding multiple workplace projects through all phases from initiation to closure to deliver office spaces to a high standard of quality.
  • Collaborate with cross-functional teams to develop and manage agreed-upon scope, schedule, and budgets for projects, while applying innovation and industry best practices.
  • Validate project needs against wants, ensuring internal customer expectations and project objectives are met.
  • Be accountable for the design, construction, commissioning, and handover of our spaces, proactively overcoming hurdles throughout the process.
  • Proactively manage project reporting and dashboards, including cash flow forecasting and status updates (project health, risks, issues, resourcing, and schedule).

Financial Management and Data Analysis:

  • Gather and analyse various workplace data and metrics, such as headcount forecasts, to provide reports and deliver insights.
  • Develop detailed business cases for projects, including decision criteria, financial analysis, and timelines to support informed decision-making.
  • Build financial models to compare CAPEX and OPEX impacts of different scenarios, partnering closely with the Finance team.
  • Perform space utilisation analysis to inform future needs and identify opportunities for efficiencies; determine the impact of space use on future plans.
  • Manage project budgets, project estimating, change orders, and day-to-day cash-flow management to ensure projects are delivered on budget.
  • Lead the end-to-end procurement process for vendors, including drafting RFPs, negotiating commercial terms, contract management, and on-site supervision.

Innovation and Continuous Improvement:

  • Champion a culture of innovation by integrating cutting-edge practices and technologies into project delivery to enhance quality and efficiency.
  • Seek continuous improvement of the delivery process, leveraging insights from post-project reviews and industry benchmarks.

Supporting Program Delivery:

  • Support the Program and Change Manager in delivering the annual program by leading key projects in the workplace annual program.
  • Coordinate with the Program and Change Manager to align project goals with the overarching annual program objectives.

Communication and Change Management:

  • Develop comprehensive communication plans for projects, collaborating with internal communications teams to ensure activities run according to plan.
  • Engage with stakeholders and provide updates on the activities led by the Workplace Projects Team.
  • Facilitate and design internal change workshops and initiatives, such as ‘change champions,’ supporting stakeholders through the change management journey.

Additional Responsibilities:

  • Contribute to our half-yearly Global Workplace Team planning cycles and help with coordination.
  • Suggest and implement ideas to drive continuous improvement within the team.
  • Contribute to the development of Wise’s workplace strategy; attend industry events and network with other workplace professionals to evaluate the applicability of their insights and ideas for Wise and our culture.

 

About You:

Essential Skills and Experience:

  • Demonstrable experience leading or supporting projects, ideally within a workplace setting.
  • Strong detail orientation and analytical skills.
  • Ability to manage a range of different stakeholders with patience and persistence.
  • Fluent in English, both verbal and written.
  • Demonstrable financial and data literacy experience, including budget management.
  • Excellent interpersonal and networking skills.
  • Strong verbal and written communication skills, including presenting and storytelling.
  • Great organisational, multitasking, and problem-solving skills.
  • A continuous improvement mindset, with the ability to think ‘big picture.’
  • Knowledge or a keen interest in commercial property, workplace, or construction.

Preferred Skills and Experience:

  • Proficiency in Excel, Google Suite, and Slack software tools.
  • Competence in commercial real estate terminology and processes, including sourcing, execution, and disposal.
  • Knowledge of workplace design and space planning.
  • Ability to read and understand construction drawings and vendor contracts.
