Job Description

We’re looking for a Compliance System Manager to join our growing team in Tallinn, Estonia. In this role, you will be a key driver of efficiency, scalability, and operational excellence for the Compliance Team of our Belgian entity (Wise Europe SA).

Sitting within the Regulatory Oversight team, you will bridge the gap between regulatory requirements and technology solutions. You will own operational  compliance processes, drive project management and technical coordination during regulatory audits, build smart tooling solutions for the wider Wise Europe Compliance function, and autonomously identify and implement solutions to streamline manual workflows and accelerate AI adoption.

 

WHAT YOU’LL BE DOING

  • Operational Ownership: Own core regulatory compliance workflows, including the end-to-end preparation and submission of Fit & Proper forms, as well as the upkeep of our regulatory interactions and policies registers.
  • Tooling & Visualisation: Own the development and maintenance of tooling solutions for the wider compliance function (e.g., Jira boards for team task tracking and clear visualisation dashboards for monitoring compliance plan progress).
  • Automation & AI Adoption: Proactively identify operational bottlenecks and build automated solutions (leveraging tools such as Slack automations, Credal, and Gemini) to eliminate repetitive manual work and elevate AI adoption across the team.
  • Data Collection & Reporting: Extract, analyze, and aggregate compliance data using analytics platforms (such as Lightdash and Snowflake) to support high-quality management reporting and decision-making.
  • Inspection & Audit Coordination: Provide end-to-end project management and technical support during regulatory inspections and audits, including setting up structured tracking for Requests for Information (RFIs), following up with action owners, and keeping key stakeholders aligned to meet tight deadlines.
  • Cross-Functional Collaboration: Partner closely with Compliance Analytics, Group Compliance, Risk, Engineering, and Product teams to drive continuous operational improvements.
  • Regulatory advisory: Support gradually with regulatory advisory tasks  in selected areas, following completion of functional training (e.g. marketing escalations, incident reporting).

  • Drive High-Stakes Delivery: Support regulatory inspections, ensuring audit processes run smoothly and transparently.
  • Exercise True Autonomy: Diagnose operational pain points, propose pragmatic solutions, and independently learn and implement the tools needed to fix them.
  • Drive Cross-Functional Impact: Serve as the connector between regulatory expectations and technical execution across multiple risk, product, and engineering stakeholders.

 


Qualifications

  • Project Management & Organisation: Strong project management discipline with ability to keep complex, high-stakes deliverables (e.g., audit RFIs, regulatory filings) on track across multi-functional teams.
  • Autonomous Problem-Solving: A self-starter mindset with a strong ability to figure things out independently—whether that means learning a new data tool, mapping a complex process, or testing a new AI workflow.
  • Systems & Process Orientation: Proven experience managing operational tasks, optimising workflows, and setting up structured processes in compliance, risk or regulated operations.
  • Tooling & Automation Aptitude: Hands-on experience or strong familiarity with task-tracking systems (e.g., Jira), modern AI/automation interfaces (e.g., Gemini, Credal, Slack automations), and a drive to experiment with new technologies.
  • Data Literacy: Ability to gather, analyse, and visualise data (using tools like Lightdash, Snowflake, or similar SQL/BI platforms) to translate raw numbers into executive-level compliance reporting.
